You’ll play a pivotal role in supporting project delivery, building scalable systems, and ensuring our brand shows up with clarity and consistency. You’ll have the space to lead, influence, and evolve — surrounded by a team that cares about the details as much as the direction.We want work to be a place where you connect with your colleagues, feel safe and valued, and express the best version of yourself.What You Bring• 4+ years in operations, project management, or studio coordination• Experience supporting creative teams or agencies• Strong eye for detail — both in copy and design• Proactive problem-solver and clear communicator• Calm under pressure and able to juggle priorities• Familiarity with tools like Float, ClickUp, ChatGPT, Figma or similar• A love for systems and continuous improvement• A warm, collaborative presence who thrives in dynamic teamsYou’ll Be Responsible For:Studio Operations & Workflow Management• Oversee daily studio operations – calendars, systems, infrastructure.• Maintain and optimise workflow tools (primarily Float) to plan and track projects, timelines, and resources.• Collaborate with creative team to coordinate timelines and deliverables across team based on skill sets, availability and deadlines • Maintain the studio calendar and key milestones across teams.• Establish and maintain review processes to catch errors before delivery• Plan and book team travel and client entertainment in advance.• Ensure consistent delivery against timelines, budgets, and standards.Brand & Quality Assurance• Review client-facing documents (e.g. proposals, presentations, reports) to ensure consistency in tone, visual identity, and formatting.• Spot and resolve inconsistencies in how we present ourselves visually and verbally.• Build systems (e.g. templates, guidance, playbooks) that enable brand consistency at scale.• Work closely with Creative and Marketing to embed brand values across all outputs.• Coordinate brand reviews and act as a brand steward internally.People & Culture• Organise internal reviews, team meetings, and creative workshops.• Maintain a positive hybrid culture (remote and in-studio).• Act as a point of contact for team wellbeing and day-to-day studio support.• Support recruitment: writing job descriptions, scheduling interviews, onboarding new hires.• Maintain the employee handbook, contracts, time-off tracking, and coordinate payroll (with accountant).Budgeting & Finance• Support budget creation, track budgets, costs, and invoices with finance and project leads.• Support budgeting accuracy and timely financial operations.Technology, Tools & Systems• Manage studio software tools and systems – ensure high adoption, troubleshoot issues.• Maintain SafeHR system and ensure all records are up to date.• Implement new operational tools or process improvements quarterly.AI Integration & Process Innovation• Be the internal lead for AI adoption – training, onboarding, best practices.• Maintain AI-related documentation and lead quarterly reviews.• Liaise with external consultants, software providers, and AI support teams to ensure successful setup, integration, and ongoing optimisation• Collaborate with Creative and Sales to explore AI for marketing, research, and delivery.• Work with leadership to embed AI into forecasting, planning, and workflows.Additional InfoYou'll be measured by a clear set of performance indicators across operations, team culture, finance, tools, and AI adoption, including:• 95% of projects delivered on time and within budget• High Float utilisation and team visibility• Strong adoption of tools (e.g. Float, AI platforms)• Tangible improvements in workflows, templates, and reviews• Team satisfaction and hybrid culture engagementInterested?With over 40 years of experience shaping some of the world’s most iconic fashion and lifestyle brands, BDA London is a respected creative partner known for insight, craft, and clarity.
