Executive Assistant – Media Sales Leadership SupportLocation: London Area, UK (Hybrid – 90% WFH, with occasional office presence once per month for deliveries/meetings)Contract: ASAP start – 31 March 2025 (with view to extend up to 18 months)Schedule: Monday–Friday, 40 hours per weekRole OverviewWe are seeking an experienced Executive Assistant to provide high-level support to two Senior Directors within a global media sales division. This is a fantastic opportunity to join a collaborative, fast-paced, and supportive team where you’ll play a key role in enabling senior leaders to focus on strategic priorities.You’ll need initiative, flexibility, and the ability to thrive in a dynamic environment, balancing complex schedules, managing priorities, and supporting leadership with professionalism and discretion. If you enjoy working with passionate colleagues, making an impact on a global scale, and having fun while working hard, this role is for you.Key ResponsibilitiesProactively manage complex calendars for senior leaders, ensuring accuracy and prioritisation of commitments.Plan and coordinate domestic and international travel itineraries, including logistics and compliance.Prepare and process expense reports accurately and in line with policies.Work with Business Management to align business operations and leadership schedules.Coordinate logistics for events, offsites, and all-hands meetings, including venue booking and materials preparation.Support with budget tracking, procurement, and headcount management.Provide admin support for new hire onboarding, requisitions, and equipment requests.Manage team communications, aliases, and space planning.Support ad-hoc requests, projects, and administrative needs across the leadership team.Key Skills & ExperienceMinimum 3 years’ experience supporting senior leaders in an Executive Assistant or Business Administrator role.Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, Visio).Strong organisational, planning, and time management skills, with the ability to juggle multiple priorities.Proven ability to work independently, use initiative, and operate effectively in ambiguous situations.Excellent interpersonal and communication skills; able to build trusted relationships across diverse teams and stakeholders.High degree of professionalism, tact, and discretion with confidential information.Positive, adaptable, and resourceful, with a “can-do” attitude.Top 3 Must-HavesStrong track record as an Executive Assistant or Business Administrator at senior leadership level.Proficient in Outlook and Microsoft Office applications.Excellent time management and organisational skills.This role offers the chance to work closely with senior leaders in a global organisation, providing invaluable exposure and the opportunity to make a real impact within a high-profile team.How to apply?
