The People’s Orchestra Charity are looking for an efficient and assured Events & Administration Coordinator to join their growing ensembles and increasing presence across the UK.The People’s Orchestra is a National Portfolio Organisation supported by Arts Council England and the National Lottery. Our network of instrumental and choral ensembles can be found throughout the Midlands, London, South Wales and the Highlands of Scotland. We are looking to find an organised and focused candidate ready to get stuck in with busy programming and expanding ensembles. Great problem-solving skills and responsive confident communication are essential for this role.The Events & Administration Coordinator will be part of a small team dedicated to the running of our instrumental ensembles and charity concert season, reporting directly to the Orchestra Manager.Our Events & Administration Coordinator will work alongside our Orchestra Manager to produce the charity’s concert season, responsible for overseeing the efficient production of complex arts performances across the UK for audiences and musicians alike. The role will focus on looking after member & musician enquiries, to support music making in our local communities.This full-time role (37.5 hours per week) is predominantly based in The People's Orchestra’s offices in West Bromwich. The role includes some flexible working, with occasional evening and weekends for concerts and rehearsals throughout the year.Music knowledge is appreciated for this role. This role is ideal for someone who has a keen attention to detail, good decision-making skills and is ready for the hands-on experience to put on a concert.Key Responsibilities for Events & Administration CoordinatorThe main responsibility for Events & Administration Coordinator is to support production management and overall upkeep of The People’s Orchestra Charity’s events and concerts programme. Key role aspects include:Concert & Rehearsing Season -Liaise with Orchestra Manager and colleagues to produce concert/events season for charity ensembles. Oversee and coordinate performances from initial ideas, throughout production, and on to a seamless execution of high-quality events for members and audiences.Maintain internal and external bookings for termly rehearsal and events. Liaise with group leaders to ensure quality service and preparations for members & enquiries in a timely manner.Onsite support for multi ensemble events, ensuring efficient operations and production for staff, freelancers and members.Record and monitor performance statistics and trends for our charity funders quarterly reporting.Membership Recruitment, Engagement & Communications -Maintaining effective communications with members, enquiries and clients with friendly and supportive direction.Upkeep of ensembles & rehearsals. Ensure comprehensive preparation of rehearsals for ensembles, to provide quality experiences and service to our conductors and musicians. Supporting repertoire provisions to musicians and covering administrative events communications.Support recruitment & engagement initiatives for prospective ensemble musicians.Use CRM database Salesforce to maintain accurate records (support and training will be offered). Keep up-to-date records of event planning on the central system and maintaining digital systems for ensemble members.What You Bring to the RoleOur required skills and experience for prospective candidates include:Experience and confidence in working in a customer facing roleResponsive effective communication, in both Verbal and written communication skillsExcellent time management skills and personnel management skills, the ability to work under pressure to deadlines.Efficient planning and organisation skills, with strong attention to detailReadiness for developing new skillsA responsible and proactive attitude, with a supportive and friendly characterA degree or equivalent qualification is desirable.
