Job Description Programme Documentation ManagerWarminster, Wiltshire (Hybrid)SC Clearance EligibleBe at the forefront of transforming British Army training.This is more than a documentation role its a mission-critical position at the heart of one of the UKs most ambitious defence training programmes. Youll play a pivotal role in enabling high-quality governance, assurance, and decision-making that directly supports the readiness and effectiveness of the British Army.The RoleAs Programme Documentation Manager, you will be responsible for the governance, control, assurance, and continuous improvement of programme and service documentation across a complex, hightempo strategic training partnership. Your work will ensure that documentation is accurate, compliant, accessible, and aligned to contractual and programme management requirements.Working within a matrix PMO environment, youll support senior governance forums, enable audit readiness, and ensure programme knowledge is protected and traceable throughout the lifecycle.Key ResponsibilitiesDocumentation Governance & ControlOwn and maintain the programme document hierarchy in line with contractual schedules and the Integrated Programme Management Plan (IPMP)Manage version control, approvals, publication, and archival of all programme documentationGovernance SupportCoordinate and assure high-quality documentation for senior governance forums, including:Strategic Leadership BoardsExecutive BoardsBusiness Management and Performance BoardsEnsure timely delivery of agendas, board packs, minutes, and artefacts in line with governance standardsProgramme & Change DocumentationSupport the documentation lifecycle for planned and unplanned changeMaintain repositories for change documentation, impact assessments, business cases, and approvalsQuality, Assurance & ComplianceEnsure documentation supports auditability and compliance with ISO 9001, ISO 44001, and programme QMS standardsSupport internal, authority, and third-party auditsSystems & CollaborationAct as documentation system custodian and super-user across:M365 (SharePoint, Teams, OneDrive)Risk and assurance toolsIntegrated schedules and reporting platformsEnsure documentation aligns with authoritative programme data sourcesWhat Youll DeliverA structured, assured document register aligned to programme and contractual needsHigh-quality governance packs, reports, and minutesControlled and traceable programme artefacts, baselines, and change logsTrusted documentation that supports confident decision-making at senior levelsAbout YouEssentialProven experience managing documentation in a structured programme or PMO environment (defence experience desirable)Strong understanding of governance, assurance, and audit processesAdvanced capability with M365 tools, particularly SharePoint and version controlExcellent written communication and information-structuring skillsHighly organised with exceptional attention to detailConfident engaging senior stakeholders in a fast-paced environmentProactive, self-driven, and values-ledDesirableExperience supporting large-scale defence or transformation programmesKnowledge of ISO 44001 and ISO 9001Experience supporting senior governance boardsExisting or previous MOD security clearance (or eligibility)Who Were Looking ForWere looking for people who are mission-focused, collaborative, and driven to deliver impact.
