ABOUT THE ROLELocation: 314 Regent St., London W1B 2QS, UKStatus: Full TimeCompensation: CompetitivePosition Summary: The HR Administrative Coordinator will be the in-store liaison between our London stores and the headquarters teams. This role will support the HR function for the London operations, ensuring smooth execution of HR processes, compliance with UK regulations, and a positive employee experience. This role focuses on operational HR tasks while implementing global policies provided by the Corporate HR team in Paris, with technical support from the US HR team. While this role will report to the regional HR partner, their primary responsibility is to support the Retail and Food & Beverage leadership teams by handling all administrative functions related to but not limited to scheduling, payroll, and tips/commission reporting. Although heavily administrative focused, the Administrative Coordinator will not hesitate to support the store teams in any capacity.This is a unique opportunity to represent our brand in a high-visibility setting and work autonomously while remaining connected to global retail leadership.RESPONSIBILITIESSupport & Administration● Serve as the first point of contact for day-to-day employee queries.● Ensure all HR documentation is accurate and completed in due time.● Oversight of new hire onboarding from verbal offer through first day of work.● Assist with administrative tasks related to offboarding, absences, holidays, and other HR matters.● Oversight of in-store scheduling for more than 100 employees (front of house and back of house).● Continuous communication with Store Leadership & the Headquarters Human Resources team● Auditing Time & Attendance reports and communicating with appropriate General Managers and other business partners.● Updating and maintaining all posted company communication, as instructed by Human Resources business partner contacts.● Ensuring store is compliant with all Law & Regulations regarding in-store communications● Providing accurate information when requested by the Human Resources business partner contacts.● Assist Human Resources business partner contacts in the delivery of employee documentation.● Prepare and submit HR reports to HR Paris.Payroll & Benefits● Collect and ensure that we have all the necessary documents for payroll.● Support the administration of UK benefits.● Ensure accuracy and timely reporting to HR Paris & US Ops Team.● Review payroll reporting on a weekly basis, identifying inconsistencies and reviewing with the Store General Manager.● Frequent audits of commission & tips reporting.Compliance & Policies● Apply company HR policies in the UK context and ensure local compliance.● Keep documentation updated and support audits or compliance checks.● Escalate legal or complex issues to HR Paris when needed.Learning, Culture & Engagement● Coordinate the rollout of corporate programs.● Help organize local employee engagement activities and communications.● Act as an ambassador of company culture within the UK team.This guide represents a summary of the role, however all team members are expected to be flexible in the work they undertake, which may change from time to time, according to the needs of the business.REQUIREMENTSQualifications:● Degree in Human Resources, Business Administration, or related field.Experience:● 2–4 years of HR experience, ideally in a retail or fast-paced environment.● Knowledge of UK employment law.● Previous experience in an international or multi-site organization is a plus.Skills:● Strong administrative and organizational skills.● Excellent communication and interpersonal abilities.● Proficiency with HRIS/Workday and Microsoft Office.● Proactive problem solving.● Discretion and Confidentiality.● Fluent in English; French is an advantage.WHO YOU AREProfessional Characteristics:● Organized and detail oriented.● Comfortable with following up and holding themselves and others accountable.● Balanced between Operations and People Management.● Able to follow processes and escalate issues when needed.● Team player with a proactive approach to supporting employees and managers.
