Job Description Owen Reed is looking for a Receptionist for a leading law firm in Oxford.We are recruiting for a Receptionist to join the Facilities and Front of House team in Oxford. You will provide the first welcome link between clients and the firm, delivering an excellent first impression both in person and over the telephone.You will also support the wider office and facilities team with general administration, assist with post-event cleaning, and provide an efficient and flexible service to internal clients.Working PatternMonday Friday, 8:30am 5:30pmKey ResponsibilitiesProvide a warm and welcoming first impression of the highest standard for clients and staff arriving at receptionPromptly and courteously answer and record telephone and reception enquiries, and assist visitors attending with appointments or documentsLook after clients waiting in reception, notify fee earners of their arrival, and escort them to interview rooms where requiredManage all documents and post arriving in the office during the dayEnsure every item and visitor is logged consistently for record-keeping purposesProvide refreshments for clients and meetings when requestedSupport events as required, including cleaning after events have finishedWork with tact, discretion and diplomacy when dealing with clients face-to-face and over the telephone, maintaining confidentiality at all timesUse the Teams system to answer telephone enquiries promptly and efficientlyProvide occasional reception cover at other offices when requiredAttend departmental meetings, training sessions and other internal meetings as requiredPrepare, refresh and maintain high standards in all meeting rooms before and after each useWork alongside Facilities in hosting large events, including setting up and clearing downDemonstrate flexibility when attending or hosting events as requiredTake responsibility for the day-to-day management and smooth operation of all nine meeting roomsProduce documents, letters and emails for other teams as requiredCopy files, scan and email documentsInput data into the CRM system as requiredSupport with additional administrative tasks including web enquiries, faxes and general email enquiriesSkills, Experience and AttributesExperience working as a Receptionist within a professional services environment is desirablePrevious hospitality experience is essentialExperience undertaking general administrative duties including filing, scanning and photocopyingExperience handling telephone-based enquiries and operating a switchboardExcellent organisational skills with the ability to prioritise effectivelyStrong customer service focusThis is a fantastic opportunity for a professional and service-driven Receptionist seeking a front-facing role within a respected law firm in Oxford.
