OverviewThe Firm The Firm is a growing practice in the East of England focused on providing excellent legal advice to a diverse range of individuals, institutions and executives across the region and beyond. The Office Services and Facilities Team Our Office Services and Facilities teams support colleagues with day-to-day office operations, delivering front of house, postal and admin services across all locations. The team also has Health and Safety, Manual Handling and First Aid responsibilities, which you will be expected to undertake with the necessary training. The Role The Central Admin Service is a central hub in place to provide invaluable admin support to our divisions. On a Day-to-day Basis, You Will Be Responsible For Post Services: Sorting incoming post, scanning and distributing to the correct teams and divisions; preparing outgoing post for collection; franking mail and ensuring couriered/DX items are signed for and dealt with correctly; ensuring cross-office post is ready for collection; resolving, as far as possible, the owner of any unclaimed mail. Reprographics: Providing photocopying and binding services, taking ownership of each job, ensuring end users are informed about production and deadlines are met; quality checking all work; scanning documents including preparation of electronic and hard copy court bundles and bibles; PDF amendments. Filing, Archiving and Retrieval: Assisting with archiving; sending and retrieving boxes; assisting with file destruction at our site in Gorse when required; document management including maintenance and updating of paper files and online filing systems; creating electronic files where needed. Office Services: Maintaining sufficient stationery supplies and distributing them to each office as requested by the location-based Office Services Assistant. Reception Duties: Providing reception support for client meetings, organising refreshments, and ensuring equipment for client and internal meetings is set up and tested ahead of time. Full training on equipment used will be provided. It may be necessary to update tasks and responsibilities and introduce new processes from time to time. Knowledge, Skills And Experience Required Strong attention to detail; a methodical approach to work, even with routine tasks. A pride in your work and strong communication skills to liaise effectively with external and internal clients. Ability to work on own initiative, following set instructions but without supervision; able to work well under pressure and with conflicting deadlines. Computer literate with a working knowledge of Microsoft Office and Outlook (training provided for firm-specific software). Flexible attitude to working with different team members; ability to use own initiative to solve problems on the job.
