Our client is a lifestyle and entertainment publication. The magazine has both a print edition and a strong digital presence, with their online offering real-time updates, video content, and lifestyle coverage (fashion, beauty, health etc.)This role ( 3 days a week) will be the first point of contact for all who visit the office. A trusted pair of hands to help organise office tasks, assist with meeting management and events. Sitting on the reception desk, this person will get to know all employees and will have touch points with every department, from assisting with shoot admin to helping organise candidate interviews. This person will help keep the company culture positive and welcoming, coming up with ways that they can continue to be an enjoyable place to work.KEY RESPONSIBILITIESInitial point of contact for all queries coming into the officeManning the reception desk and answering the phoneFielding queries and liaising with the relevant departmentsCollecting and distributing postFranking machine dutiesKeeping the office environment in great shapeSetting up meetings and arranging catering if requiredAssisting with organising training and office based eventsOrganising travel for team membersAssisting with logistics for shootsSupporting the commercial team with meeting and event organisationSending out magazines to clients and press contactsSupporting fashion/beauty teams with shoot call in and returnsRun fashion & beauty credit spreadsheetSupport any Fashion eventsAd hoc administrative duties as requiredManaging work experience and intern hiringChecking through applications and filtering for recruiting managersAssisting with arranging interviewsArranging for feedback to be given to unsuccessful candidatesAssisting Managers with onboarding administrationOrganising induction timetable for new hires, ensuring they have everything they need and creating a great first impressionYour profile:Highly organised with a love of administrative tasksCurious to find ways to help keep things organisedAn understanding of media and the pace at which we operateProblem solver who is ready to step in and help when neededExperience:Experience in a similar role is advantageousExperienced in using Excel, Trello and general office softwareConfident in setting up meetings, organising events etc
