Job Description Prequalification CoordinatorLocation:Hours: Monday Friday, 08:30 17:30 (1 hour unpaid lunch)Type: Full-timeAbout the RoleWe are looking for a highly organised and detail-focused Prequalification Coordinator to join a growing commercial team within a successful UK manufacturing business.This role is critical to ensuring that all incoming enquiries are accurately reviewed, qualified and routed to the appropriate teams. Acting as the first point of contact in the customer journey, you will play a key role in maintaining data accuracy within the CRM system and supporting the commercial team to deliver high-quality quotations efficiently.This is an excellent opportunity to join a fast-paced and growing organisation where your attention to detail, organisational skills, and ability to manage multiple enquiries will directly support business success and customer satisfaction.Key ResponsibilitiesReview and prequalify incoming enquiries to ensure they align with business capabilities and strategy.Ensure all enquiries are complete, accurate, and ready for the commercial team to produce quotations.Manage Request for Information (RFI) processes to obtain missing or clarifying information.Liaise with internal sales teams to challenge and clarify enquiry details where required.Route enquiries to the correct internal teams, including regional teams or specialist project teams.Escalate complex or disputed cases through the appropriate internal channels.Maintain accurate and complete records within the CRM system.Conduct detailed CRM searches to identify previous enquiries or existing customer relationships.Establish realistic return dates for enquiries in line with customer expectations.Communicate promptly and professionally with customers regarding their enquiries.Provide a high standard of customer service as the first point of contact.Contribute to a collaborative team culture with a proactive, problem-solving approach.Skills and ExperienceWe are looking for someone who is highly organised, analytical, and confident communicating with internal and external stakeholders.Essential:Experience in a prequalification, pre-construction, or similar commercial coordination role.Strong administrative experience within a busy commercial or sales environment.Experience using CRM systems (HubSpot experience advantageous).Proficiency with Microsoft Office and/or Google Workspace.Excellent written and verbal communication skills.Strong attention to detail and data accuracy.Ability to manage multiple priorities and work efficiently under pressure.Desirable:Experience working within manufacturing, construction, or tender-based environments.Familiarity with commercial enquiry or tender processes.What Were Looking ForConfident communicator who can challenge and clarify information when needed.Highly organised with strong analytical thinking.Proactive problem solver who enjoys improving processes.Professional and customer-focused approach.Ability to maintain accuracy and consistency while working at pace.What Success Looks LikeSuccess in this role will include:Responding to enquiries within agreed service levels.Maintaining high levels of CRM data accuracy.Ensuring enquiries passed to estimating teams contain complete, high-quality information.Supporting improvements in quotation efficiency, customer satisfaction, and new customer conversion.
