Job Description We are partnered with a top international law firm recruiting for a Reception & Facilities Assistant in their Guildford office.As a Reception and Facilities Assistant, you will be expected to assist the Facilities Resource as a whole. Tasks will be divided up each week, depending on tasks, work-loads and absences within the teams.As part of the General Office team, you will be expected to:Answer and deal with enquiries by phone, email or face to faceProvide a friendly and efficient service to internal clients in the collection and delivery of postArrange and record courier deliveries to deadlines and within budgetProcess incoming and outgoing post including use of the franking machineEnsure the Service Points and Hub are kept stocked and tidyLiaise with the Cashiers team to process cheque requests and petty cash requestsProcess daily banking and take to bank as necessaryEnsure the maintenance of equipment including vending machines and generally reviewing and reporting to the Facilities Manager concerning premises and equipmentAs part of the Reprographics team, you will be expected to:Provide a friendly and efficient service to internal clients in the professional and accurate collation and presentation of documents for internal and external purposesMaintain internal communication to ensure work priorities are handledTo acquire sufficient knowledge of all equipment used in line with safety requirementsAs part of the Reception team, you will be expected to:Ensure all calls are responded to within the minimum period of time and in the agreed styleWelcome clients and visitors and ensure they are dealt with promptlyEnsure meeting rooms are fully stocked and set up as required for seminars / trainingProvide an efficient service when booking meeting rooms and refreshmentsOpen or close the Reception area at the beginning or end of the day when requiredEnsure the Reception area is kept tidy at all timesWhen assisting the general Facilities team, your main responsibilities will be:Assisting Facilities Manager with facilities matters as and when requiredUpdating the Facilities documents and systemsCollating the Weekly Bulletin Newsletter contributionAssisting with Friday breakfast and tuck shop orders and deliveriesAssisting Archives team as requiredEnsuring compliance with quality standards and the firms policies in generalWhat Youll Bring:Strong organisational skills and a proactive, can-do attitude.Great communication and customer service skills.Competent with Microsoft Office (training provided if needed).A team player whos flexible, reliable, and eager to learn.For more information, please apply directly or contact Jess at AJ Chamber
