Medical Secretary (Rheumatology/Cardiology)Senior Medical Secretary - Rheumatology Medicine Administrative and Clerical Band 4 Applications are invited from motivated individuals to provide high-quality medical secretarial and administrative support within the Rheumatology Department at Queen Elizabeth Hospital Gateshead. Main duties of the jobApplicants should have prior medical secretarial experience, preferably in an acute medical setting, with knowledge of secretarial procedures and proficiency in various software programs. RSA/OCR Level 3 typing/audio/word processing or equivalent experience and a good understanding of medical terminology are required. Excellent communication, organizational, and planning skills are essential. Proficiency in Windows and Microsoft Word is necessary, and familiarity with Careflow is desirable. The role involves managing workload independently, using initiative and discretion, handling queries professionally, typing clinical letters via digital dictation (Winscribe), managing appointments, case notes, and data entry across systems such as Careflow, ICE, Filefast, and Bluespier. Job responsibilitiesProvide efficient administrative support to clinicians, managing diaries, supporting software systems, organizing meetings, and handling leave and cover arrangements. Assist with investigations and reports for incidents and complaints, oversee patient pathways, and monitor clinic capacities and scheduling to ensure smooth operations. Act as the main contact for patients and third parties, resolving queries and providing information for performance reporting and complaints resolution. Transcribe communications, reports, and correspondence within specified timescales, and monitor expenditure of delegated budgets. Person SpecificationQualificationsNVQ 3 Certificate in Business Administration or equivalent RSA 3 in Typing or Word Processing or equivalent ExperienceExperience in NHS or healthcare environment Experience in secretarial or office roles Proficiency in Microsoft Office Problem-solving skills for non-routine issues Experience in minute transcription, database, and spreadsheet creation Handling difficult patients or carers Experience managing or supervising staff Disclosure and Barring Service CheckThis position requires a DBS check due to the nature of the work.
