Job Description This is a project support role, existing to assist the Operations Manager in the successful delivery of all projects from Letter of Intent (LOI) through to installation and aftercare. This is a hands-on, detail-focused role that ensures projects are well organised, accurately documented, and kept moving by providing strong administrative, coordination, and communication support.You are not accountable for overall project ownership or commercial decision-making instead, you enable the Operations Manager and wider operations team to perform at their best by keeping systems up to date, information flowing, and tasks followed through.This is an office-based role at our Etchingham site.Address: Riverside Works, Church Lane, Etchingham, TN19 7AS.What Youll DoSupport Project DeliveryAssist with the coordination of projects from LOI through to completion and aftercare.Help maintain accurate project timelines, milestones, and statuses in HubSpot or other systems.Track actions, follow-ups, and outstanding tasks to ensure nothing is missed.Support snagging close-out by tracking issues and ensuring updates are recorded.Project Administration & CoordinationPrepare and issue order confirmations, meeting invites, and project documentation as directed by the -Operations Manager.Book surveys, installers, subcontractors, and internal resources as required.Assist with logistics planning, including scheduling, packing lists, and warehouse coordination.Gather site information and ensure it is clearly recorded and shared with relevant partiesDocumentation & CompliancePrepare, organise, and file project documentation including Design Sign-Offs, POs, RAMS, and compliance records.Ensure RAMS and required documentation are issued prior to site work.Maintain records for installer credentials (e.g. PPE, DBS, CSCS) and flag any gaps to the Operations Manager.Communication & UpdatesSupport customer and internal communications by drafting updates, confirmations, and status reports.Ensure information shared with customers, suppliers, and subcontractors is accurate and timely.Act as a point of contact for routine project queries, escalating issues when needed.Reporting & Systems SupportKeep HubSpot data accurate, including project dates, notes, and documentation.Support invoicing forecasts by ensuring project progress and milestones are up to date.Assist with reporting on project progress, workload, and operational metrics.About YouMust HavesHighly organised with strong attention to detail.Comfortable managing multiple tasks and priorities at once.Clear, professional communicator in writing and verbally.Process-driven and confident working within defined systems.Strong administrative or coordination experience in a project-based environment.Nice to HaveExperience in construction, manufacturing, or installation-led businesses.Familiarity with HubSpot or similar CRM / project management systems.Understanding of basic project delivery workflows.Exposure to health & safety documentation (e.g. RAMS).How Well Measure SuccessProject information and documentation are accurate and up to date.Tasks, bookings, and follow-ups are completed on time.HubSpot data is reliable and trusted by the Operations Manager.Project support reduces bottlenecks and frees up management time.Internal and external communication is clear and professional.Whats in it for youCompetitive salaryAnnual bonus schemeOnsite parkingHot lunches provided dailyNewly refurbed offices great working environmentEmployee service awards20 days annual leave + 8 statutory bank holidaysPlease submit your CV and covering letter to [email protected] by 27 February 2026.
