Office Manager Eastleigh, Hampshire Permanent, full time Salary: 30-32k DOE Our client, MC Controls is a privately owned business that specialises in the design, construction, supply, installation, commissioning and maintenance of HVAC control systems. They pride themselves on offering a high level of customer service and working on a wide range of projects - from large domestic properties through to schools, restaurants, health centres/ hospitals, hotels, offices and even a few British Embassy buildings. Due to their continued growth, they are now looking for an organised and confident Office Manager to join their team based in Eastleigh, Hampshire. You will be responsible for day-to-day administrative support within the team overseeing the management of the office, simple accounts and customers. Office Manager , the role: Act as a central point of contact for customers, handling calls and emails professionally. Manage customer information, service agreements, and documentation within a cloud-based ERP system. Coordinate planned maintenance schedules and engineer visits alongside the Operations Manager. Liaise with engineers regarding site visits, parts collection, paperwork, and timesheets. Review engineer reports, escalate urgent issues, and raise remedial actions where required. Raise purchase orders and manage supplier and subcontractor documentation. Issue service reports, visit documentation, and invoices to clients. Support invoicing, payment processing, and credit card reconciliations. Complete general bookkeeping tasks and assist with monthly financial reporting. Administer payroll-related processes, including overtime, pensions, and salary queries. Oversee onboarding administration for new starters and maintain HR system records. Manage office systems, inboxes, insurances, and compliance documentation. Support health & safety administration and internal quality standards. Maintain an organised, efficient office environment and contribute to process improvements. Office Manager , the person: Proven experience in an Office Manager or senior administrative role . Strong organisational skills with the ability to manage multiple priorities. Confident communicator with a customer-focused mindset. Commercially aware, detail-oriented, and comfortable working autonomously. Strong IT skills, including Microsoft Word and Excel, with the ability to learn new systems quickly. A proactive, solutions-focused approach and willingness to challenge processes constructively. Desirable: Experience within engineering, construction, HVAC, BMS, or building services. Exposure to health & safety or compliance administration. Experience supporting a growing SME or evolving office function.
