About The Role The Hesley Group is recruiting for an Estates Administrator to provide high-quality administrative support and management information to the Estates and Facilities leadership team.Key Responsibilities will include Processing all invoices related to internal maintenance work. Logging invoices, pairing delivery notes, receipting orders, and sending them to sites for payment authorization. Responding to invoice queries both externally and with the internal Accounts Department. Updating the Approved Contractors Database to ensure all documentation is current. Updating the Capital Expenditure (Cap Ex) spreadsheet and tracking Operational Expenditure (Op Ex) costs. Assisting with auditing Cap Ex expenditure in conjunction with the Accounts Department and supporting the Facilities Manager. Maintaining and updating the E&F Department's central folders. Ensuring all Health & Safety (H&S) compliance documentation is current. Assisting the Department leadership with general administration and queries. About You The successful candidate must have the following:Evidence of ongoing professional development. Proficiency in Excel and maintaining spreadsheets. Ability to maintain confidentiality. Ability to follow schedules and produce high-quality work. Ability to build positive relationships with colleagues and staff in a busy environment. Welcoming and helpful manner when dealing with external visitors. Clear and effective communication skills. Willingness to follow established schedules and procedures, and suggest improvements. Desirable qualifications include experience in a care or support service environment, knowledge of safeguarding procedures, GCSEs (or equivalent) in Math and English, and administration experience. *Please note: Due to current workforce planning, we are prioritizing applications from candidates with indefinite leave to remain or settled status in the UK.
