Job DescriptionProgrammes Assistant - Fixed TermThe 10,000 Interns Foundation - Job DescriptionLocation: London (Hybrid or Fully Remote)Reporting to: Head of OperationsRole Type: Full Time (fixed-term, 6 months contract)Starting Date: Monday, 01 September 2025Base Salary: 29,000 pa (pro-rated)Application Deadline: Sunday, 29 June 2025ROLE DESCRIPTIONThe 10,000 Interns Foundation is seeking to appoint a Programmes Assistant to support the Operations team in delivering both the 10,000 Black Interns programme (10KBI) and the Foundations 10,000 Alumni programme (10KAlum). This role combines administrative coordination with hands-on support during all phases of the 10KBI programme, as well as the rollout of the pilot phase of 10KAlum. The Programmes Assistant will work closely with the Operations team to manage administrative processes, conduct outreach to potential employers, and support key stages of the programme cycleincluding researching new organisations, assisting with Premier Member recruitment, and helping to shortlist candidates.KEY RESPONSIBILITIESProgramme & Operations SupportAssisting with daily office needs, such as email inbox management and responding to queries.Maintain appropriate digital filing systems for all programme-related activities.Support accurate data entry, consolidation, and document management across programme areas.Assist with planning and administering information sessions.Communicate key deadlines and updates to participating organisations, ensuring accuracy and timeliness.Support the Community Engagement team with candidate and alumni engagement.Stakeholder Research & OutreachIdentify and research prospective partner organisations across target sectors.Compile and verify the contact details of the relevant decision-makers within these organisations.Make outreach calls and send follow-up emails to encourage participation in the programme (i.e., pledging internships or donations).Maintain accurate records of outreach activities and update internal systems as needed.Maintaining appropriate filing systems for all community engagement documents and filesManning the annual community engagement calendar to ensure all events, key meetings, announcements, and any other calendar pieces are well recorded and up to dateAssisting with event administration for both physical and digital community events, e.g. creating Zoom webinars.Recruitment Support for Premier MembersSupport the operations team during the peak programme phase by scanning and reviewing candidate CVs for Premier Member organisations.Ensure all Premier Member requirements are being applied correctly and consistently across shortlisting processes.Flag inconsistencies or gaps in candidate matching for follow-up by the Senior Account Manager.Cross-Team Collaboration:Liaise with the communications team to assist with research, newsletters, and promotional outreach.Respond to stakeholder queries and assist with issue resolution as required.REQUIREMENTS & SKILLS:Essential:Experience with email inbox management and organisation.Understanding of CRM systems or a willingness to learn how to use them.Experience handling sensitive or confidential information.A confident and professional telephone manner.Strong organisational skills and attention to detail.Good written and verbal communication skills.Basic proficiency in Google Workspace tools (e.g., Sheets, Docs, Drive).A proactive attitude and willingness to learn.Preferred:Familiarity with online webinar platforms and event coordination.Previous experience in administrative, research, or customer service tasks in any setting.Experience making outbound calls or managing customer/client communication.Ability to work well as part of a team and follow instructions.An interest in social justice, diversity, and inclusion.ROLE REPORTINGThe role reports to the Head of Operations but is responsible for supporting all members of the wider team with stakeholder engagement for the 10,000 Black Interns programme and the Alumni Programme. It also involves strong cross-functional collaboration across the Foundation to ensure effective communication and timely flagging of risks. The duties and responsibilities outlined are not exhaustive, and additional tasks may be assigned from time to time.
