A growing firm with ambition and enthusiasm for providing excellent client service, supported by a team of professionals who thrive on the buzz of delighting their clients.About The RoleThis is an exciting opportunity for a Senior Administrator to join our growing and dynamic Private Client team at Shorts. We are looking for an enthusiastic and experienced Senior Administrator to take a lead role in coordinating administrative support across the team, supporting the Partners and Directors, and contributing to the overall success of the department. This role is ideal for someone who enjoys working in a fast-paced professional environment and is highly organised, proactive, and detail-focused.Team & Process CoordinationOversee and coordinate administrative systems and processes within the Private Client team.Act as a key point of support for administrative team members, providing guidance and sharing best practices.Assist in ad hoc project work as directed by the Partner or Directors. Partner & Team SupportProvide day-to-day administrative assistance to Private Client Partners, Directors, and wider team Assist with preparing Letters of Engagement and other client onboarding documentation.Support inbox and diary management for the Partners where required.Arrange meetings, take minutes, and coordinate travel or event arrangements.Client-Facing Administration Prepare agendas, letters, and professional documentation in various formats.Collate research and prepare information packs for client meetings and introductions.Assist in estate administration tasks, including initial letters to third parties, data gathering, and maintaining estate spreadsheets.Systems & Record ManagementMaintain accurate digital and hard copy filing systems.Update client records in job and time management software, including data maintenance, duplicate checks, and write-off requests.Maintain tracking spreadsheets for trusts, wills, LPAs, and other client-related information.Ensure timely recording and follow-up of action points and business development opportunities.General Administration Assist with organising refreshments and setting up meeting rooms when needed. Provide support to other teams as required and assist with cross-department queries. Undertake any additional ad hoc administrative duties to support the effective running of the Private Client department.Skills & Experience Accuracy and attention to detail Professional and organised approach to work Effective time management with the ability to prioritise and manage workload to meet deadlines Self-motivated and ability to work on own initiative as well as part of a team Good written and verbal communication skills Excellent interpersonal skills High level of proficiency with Microsoft Office (Word, Excel, Outlook).
