Company: Tribe VintagePosition: Buying / Merchandising CoordinatorLocation: Tribe Head Office, Kingsditch Trading Estate, CheltenhamReports to: CEOAbout Tribe Vintage:Tribe Vintage is a rapidly growing vintage fashion retail start-up that operates in partnership with Superdry. We currently have 9 concessions within Superdry stores across the UK and are looking to rollout significantly in 2026. We specialise in vintage Ralph Lauren, Carhartt and also have an exciting new Tribe Reworked collection where we upcycle clothes that were deemed too damaged to sell!Role overview:As we look ahead to rolling out more concessions within Superdry next year, we are looking to hire a highly organised, detail-driven Buyer / Merchandiser Coordinator to take full responsibility for all incoming stock and merchandising decisions at Tribe Vintage.This role acts as the central gatekeeper for product: anything related to buying, stock flow, supplier management, category planning, store stock mixes, and merchandising stops with this position.They will support the growth of the business by using data, trend awareness, and strong operational skills to ensure the right product arrives at the right time, is distributed correctly, and performs well in-store.Key responsibilities:Buying & Product CoordinationOwn and coordinate all buying activity across the business no product enters the business without going through this role.Use sales data, size curves, stock performance and sell-through reports to guide purchasing decisions.Identify new trends across vintage, Y2K, streetwear, and brand-led categories (especially Ralph Lauren, Carhartt, and Tribe Reworked categories).Ensure category mix, sizing mix and gender mix aligns with store needs and sales patterns.Own the seasonal buy calendar and ensure timely planning and execution.Supplier Coordination & Relationship ManagementAct as the primary contact for all suppliers and wholesalers.Coordinate purchasing appointments, negotiate pricing where needed, and maintain strong ongoing relationships.Ensure delivery schedules, product quality and pricing accuracy are consistently met.Source and onboard new suppliers when required.Stock Flow & Merchandising CoordinationTake full ownership of stock flow from supplier warehouse retail.Ensure all stock handed to Warehouse follows the correct sorting, sizing and processing standards.Create and manage allocation plans for each store, ensuring product is delivered based on sales data and local demand.Track stock ageing and propose clear actions (re-allocation, outlet, etc)Performance Monitoring & ReportingProduce weekly and monthly merchandising reports, highlighting key wins, risks, and upcoming needs.Monitor product categories closely, adjusting buying and allocations based on performance.Forecast future stock requirements based on trends, seasonality, and sell-through.Cross-Department CollaborationWork closely with the CEO to optimise store stock mixes and prepare for seasonal trade.Work with Retail to ensure that all product is effectively visually merchandised in-store and that in-store teams have understanding of productWork with Warehouse to ensure efficient processing and minimise bottlenecks.Align with marketing to provide product trends, buying updates, and key stories for content.Work with Finance to stick to budgets and forecasts to maximise buying at all times for optimum growth / scaling.Skills and experience:Strong organisational ability with excellent follow-through.Confident decision-maker - able to take full ownership of the buying cycle.Analytical, comfortable with sales data, sell-through analysis, and forecasting.Good understanding of fashion trends - especially vintage and branded categories.Strong communication and coordination skills.Highly detail-oriented and able to manage multiple tasks simultaneously.Experience in buying, merchandising, stock management, or fashion coordination.Vintage experience is a strong bonus.Experience communicating with suppliers and working with stock data preferred.Must be comfortable taking full responsibility for product decisions.What we are looking for (competencies):We are looking for a self-motivated, proactive and organised person who is hungry for success.
