Job TitleOffice Services Administrator - 12 Months Fixed Term Contract Department Office Services Office Location Birmingham Reports To Office Manager Birmingham / Head of Office Services - UK Working Hours 35 hours per week, 9:30am to 5:30pm but additional hours may be required. Department Description Operations is one of the firm's support departments and is responsible for the delivery of operational facilities services and the operation and maintenance of our real estate assets. Role Overview To support the office for facilities and office services-based activities including practical and admin tasks. Key Responsibilities / Accountabilities Ordering for and provisioning of tea points and client kitchen.Ordering for and provisioning of catering for meetings and events.Managing meeting room bookings, setting up and checking of meeting rooms.Managing security passes and access control in-line with policy and processes.Supporting Office Manager with managing third party contractors including cleaning, maintenance, and vending.Ordering and provisioning of stationery points and paper for printers.Supporting with client visits including reception, access, catering for meetings and admin support i.e. printing.Supporting visitors from other offices.Processing invoices and expenses.Act as a point of contact for facilities and office services questions from the office or other offices.Taking part in the new starter induction, showing facilities and safety arrangements.Supporting PAs and lawyers with office-based tasks such as printing, scanning, binding, organising couriers, postage etc.General admin and tasks required for managing an office and supporting teams in the building.Specific duties or responsibilities may be reviewed from time to time to reflect changes in personnel and management structure, staff location or services.
