We are currently representing an International Law Firm who are actively seeking a Client Services Administrator for their Guildford office.You will be joining the Private Wealth Disputes team in a highly reputable firm. You will ideally have some admin/customer service experience.Role & ResponsibilitiesCustomer Service:Able to develop solutions to ensure an exceptional service is provided at all times.Consistently and appropriately update service users on progress and status of tasks where appropriateWork with service users to offer assistance where possibleSupport the Compliance & Risk Team with the completion of client due diligence, conflict checking and the Anti Money Laundering processesCreate new files and maintain and update existing files, demonstrating an understanding of the principal documents within fileDeal with internal and external postal deliveries and arrange couriers’ services as necessaryWorking effectively and efficiently on the Practice Management System to log and record documentsUndertake all file closing procedures including the processing of archiving and retrievalComplete searches at the request of Partners, fee earners, Client Services Leads and Client Services ExecutivesPhotocopying, printing, scanning, binding, and filing tasksSupporting the Finance team by ensuring receipts, cheques and bills are correctly loaded onto the systemAny ad hoc duties as requested by the business Practice Group Specific Tasks:Depending on which Practice Group you are working in there will be some additional tasks specific to that group which may include:Producing document packs to be used by the Practice groupsProducing court bundlesKeeping client specific records updated where necessaryPreparing files for costs assessmentsUndertaking basic Land Registry searchesData Subject Access RequestsChecking Companies House for company registration numbers, addresses, director details etcUpdating the Practice Group intranet pagesAdditional practice group specific administration tasks that were requiredPerson SpecificationA minimum of 6 months administration experience within professional servicesGCSEs graded A to C to include Maths and English (or equivalent level of qualification)Solid customer service centric experience and work ethicCompetenciesExcellent verbal and written communicationProactive Team PlayerOrganisedGood interpersonal details with the ability to adapt style and approachAttention to detail and accuracyIf you feel you would be suitable, please apply direct or contact Jess Dodman at AJ Chambers.
