Job Description

We are seeking a highly diligent, detail orientated Document Administrator to handle all areas of document processing, creation and managenement.This role is ideal for a methodical and precise individual who finds satisfaction in ensuring complete accuracy in all documentation. You will be responsible for our commercial and operational documents, the reviewing and handling of tender documents, purchase orders, and quotes. The work is process-driven, repetitive and detail-oriented, requiring a high level of focus and a commitment to accuracy. This position is perfect for someone who enjoys the repetitive, stable and detail orientated nature of administration and documentation, being organised, diligent and enjoy working behinds the scenes to support the team and keep it on course.Key Responsibilities:Tender Management:Review tender system daily for new opportunities and updates.Download and compile all relevant documentation for each tender submission.Meticulously verify that all submission requirements are met, checking every detail against the tender's stated rules.Extract core specifications into a procurement documentSend new document to suppliers for qoutationOrder & Quote Administration:Process incoming purchase orders against quotes, ensuring all data, including pricing and product codes, is 100% accurate.Prepare customer quotes based on established pricing templates and rules.Maintain accurate records of all quotes and orders within our system.Operate our ERP/MRP software generating export license documentation, qoutes, supplier documentation, and compliance documentationDocument Control:Maintain the central repository of all commercial and operational documents, ensuring version control and easy retrieval.Organise supplier contracts into folders and versionsMaintain databses of sales partner documentation, marketing collateral, legal contracts, and planningEnsure all internally generated documents (e.g., packing slips, invoices) adhere strictly to company formatting standards.Handle the administrative processing of required compliance documents.Candidate Profile:You find genuine satisfaction in methodical, repetitive tasks where accuracy is the primary measure of success.An exceptional eye for detail is not just a skill, but a core part of your professional identity.You enjoy the stable and repititive nature of this administrative workYou have a strong sense of personal accountability for the accuracy and quality of your work.You possess the ability to work independently with high focus for sustained periods.Proven experience in a role demanding precision, such as administration, compliance, data entry, or a similar field.Proficiency with standard office software (e.g., MS Office, G-Suite) is required.
